How to delete your data

This page explains how to have personal data deleted from ZeroACE, and who to ask. Which route applies depends on whether you are a shopper who messaged a business, a business that has a ZeroACE account, or someone who asked to try our voice demo line.

1. If you messaged a business that uses ZeroACE
ZeroACE provides the assistant that answered you, on behalf of the business you contacted. That business decides what data is collected and why, which makes it the controller of your data — so it is the fastest and most complete route.
- Ask the business you were messaging to delete your data. They can do this themselves, and they can see everything held about you.
- Or email privacy@zeroace.ai. Tell us the business you contacted and the phone number or WhatsApp account you messaged from, so we can find the right records. We do not need anything else, and please do not send us more personal data than that.
- We act on your request without undue delay and in any case within one month. If it will take longer because the request is complex, we will tell you why within that month.
What is deleted
- The conversation itself — what you and the assistant said to each other, on any channel — and the recording of any call.
- The identifier you messaged from, and the contact details attached to it.
- Where you placed an order, the personal details on it are removed or anonymised. The order record itself may be kept without them where the business is legally required to keep it, such as for tax or accounting.
- The notices that told the business about you — your name on an order, your number, what you said when you asked for a person.
If an order of yours is still open — on its way, within its return period, under a payment dispute, or still waiting for its invoice — the details that order needs are kept until it is complete, and deleted then.
What we cannot delete for you, and what we do instead
WhatsApp is Meta's service, not ours. Your own copy of the chat is on your device, and Meta keeps its own records under its agreement with the business and its own terms — we are not a party to that and cannot delete on Meta's side. What we do is delete what we hold and pass your request to the business, which can raise it with Meta under its own agreement. The same applies to any messaging or payment provider the business uses with its own account.
2. If you have a ZeroACE account
You can close your account yourself, and export your data first:
- Sign in and go to Settings, then Privacy.
- Export your data if you want a copy. Do this before closing — it is easier while the account is open.
- Request closure. Billing is set to stop at the end of the period you have already paid for.
Closure opens a grace period of ninety days during which the request can be undone and nothing is irreversibly removed. After it, your account data is permanently deleted. If you would rather we did it, email privacy@zeroace.ai from the address on the account.
Your customers' personal data — which you process through ZeroACE as its controller — is deleted with your account at the end of the grace period.
While your account is open, you can erase one customer's data yourself, under Settings, then Privacy: it is removed from their orders, their conversations and call recordings, the notifications that name them, and your WhatsApp contact book. The request waits ten days, during which you can cancel it, and if the customer has an order that is not finished — on its way, within its return period, under a payment dispute, or with an invoice that could not be issued until you retry it or mark it as issued — it waits for that order to close. Invoices already issued stay in your invoicing provider or ERP, and the emails we sent you stay in your mailbox: both are yours to handle.
3. If you asked to try our voice demo line
There is no account to close here, and you will not have one — the request is a form, not a signup. Email privacy@zeroace.ai from the address you applied with, or tell us the phone number you gave us, and we will delete it. That is the whole process.
What is deleted
- The request itself — your business name, email address, store or website, platform, country, and what you wrote about your business.
- The phone number you gave us, and its place on the list the demo line checks. Once it is removed the line no longer recognises your calls.
- The record of calls placed to the demo line from that number: the time, how long each call lasted, and whether it was answered.
We do not reply to requests we do not take forward. So if you applied and never heard from us, your request was not approved — and we still hold what you sent until you ask us to remove it. Asking is the same email, and you do not need a reason.
4. What is kept after deletion, and why
- Records we are required by law to keep, such as invoices and tax records, for as long as the law requires.
- Our access log, which records which category of personal data was read and by whom. It holds no personal data values, and it is kept precisely so that deletions and accesses can be demonstrated after the fact.
- A few working copies that a single deletion does not reach, each deleted on its own schedule: the raw messages and delivery updates that messaging and shipping providers sent us (30 days); saved answers from the business's providers, such as invoice and label links, kept so that a retried request is never carried out twice (at least 97 days); conversations nothing ties to you — no order, no phone number (90 days, or 180 with a call recording); your contact details while a delivery problem is being resolved with you (3 days); and system logs (up to 90 days).
- Backups, for up to 35 days, until they are overwritten. They are not used for anything else in the meantime.
- Regulatory identity documents, where a country required proof of your business before a phone number could be issued. Our telephony provider holds these and we never do, so closing your account does not reach them — email us and we will ask for them to be deleted.
Everything else goes.
